Every single person has things that they are really good at and others that they're (shall we say) not so good at. We cant all be good at everything, so the best solution as an employer is to empower staff in their areas of strength and move the weaker areas elsewhere.
There is very little chance that your staff are all good at the same thing as much as they won't be weaker in the same areas. This is a great thing as you now have people who are great in different areas. This could mean your entire jigsaw puzzle, that is your business, can be complete and become that streamlined well oiled machine you've been aiming for. If only it was that simple!
Just because someone is strong in the skill of marketing, doesn't mean they want to sit and do marketing all day. One of my employees once was awesome at organizing, but really hated doing it so I couldn't use this untapped skill to my advantage without creating a disgruntled employee.
So here is one solution that I can share with you. It helped the business, made the staff member feel like they really contributed to the growth of the business and used the skill of the employee, even though they didn't want to perform the duties.
As I recognized the strength in each of my employees I sat them down and asked if they would like to perform that role within the business. It was easy for the ones that were excited to use their strength all day long, but for the others I came up with another plan. I asked them to create a full document, a manual, on that area of expertise and apply it specifically to my business. The idea was met with open arms and I didn't have a single person turn me down.
So what did I end up with over time? Well I ended up with an employee that felt they had (and they really had) contributed to the company moving forward and succeeding. I ended up being able to share that knowledge with other staff members and any administration help that came into my office. And I ended up with a fully documented office with a manual for each position and skill required to run that company. This was then used to address weaknesses and work on the personal development of the staff members creating a well rounded and awesome group of people willing to sit on my team and help drive the business forward.
So don't just ignore weaknesses, work on them with people. And certainly don't dismiss the strengths of your team, capture that strength and build the type of employee that has your back as much as you have theirs.
Delegation is a skill in itself, outsourcing requires even more trust in the person providing the service because they are an outsider to your business. Even though the word may send shivers down your spine, let’s think about it with our head and not our heart for a minute.
You may believe that you can do everything inside of your business, but we all know how that story ends don’t we? Either with jobs being half done (and not done overly well) by staff members, half being done well by the owner, or the business owner being completely burnt out trying to do everything. Then if you look a little deeper at any of those scenarios they all basically spell out badly managed time that could be spent creating revenue or, in the owners case, building the business.
It’s that old chestnut: You should spend more time ON the business than IN the business if you want it to be successful. For this to happen you are simply going to have to let it go and let someone else come in and do those tasks that are taking away from you building your business. All of these things should be built into your pricing and ultimately passed on as a cost of doing business. Trust me, your clients will expect you to have all these things in place.
So here are a few services that I think should be outsourced as they are wasting your potentially chargeable time. Work smarter not longer:
Filing, document creation, minute taking, event planning, mail outs, data entry …. This is a never ending list of things that could waste a LOT of your day (or your staff members). That time spent on these things could be chargeable time, this is a no brainer and there are providers for administration help in Calgary.
Again this is something that could be fairly inexpensive if you find the right provider. Social media interaction is a reality for businesses now. Searching for content, posting regularly and following others is another item that will take you longer than an outside provider, and cost you revenue generating time.
Bookkeeping / Accounting
No don’t try and do this yourself …. Nope nope nope! By the time you have entered everything and possibly incorrectly, you have spent countless nights working on something that doesn’t have to be expensive and can ultimately pay for itself with correct entries and then tax maximization.
Yes we all took some form of computer classes at some point in our life, but these guys keep on top of what’s new and more importantly what’s best for your business. Cloud based, internal network, backups, bits and bytes … don’t try to understand this either as there are people who can and will help. There are too many stories out there of badly setup and maintained systems that have cost days in data recovery (that’s if it is recoverable).
